The Jobs module allows you to create, manage, and approve job postings on your alumni site. This feature allows institutions and alumni to post job opportunities, helping to strengthen career connections within your alumni network.
Step 1: Accessing the Jobs Page
Log in as an Admin on your Alumnly site.
Navigate to Jobs from the main menu.
On this page, you’ll find a comprehensive overview of job postings, including:
Total Jobs Count – Displays the total number of jobs posted on your alumni site.
Job Setup – Configure notification preferences and approval settings.
My Jobs – Displays jobs added by the school admins.
Current Jobs – Displays all currently live jobs with key details such as:
Name – Job title
Application end date
Number of alumni who have applied
Number of alumni who have viewed the job
Action buttons to view, edit, or delete job posts
Archived jobs – Jobs that have automatically moved to the archive after the application deadline.
Draft jobs – Jobs added by school admin that are not yet live and need activation.
Alumni Jobs – Displays job listings posted by alumni, categorised as:
Approved Jobs – Jobs that have been reviewed and approved by the admin.
Unapproved Jobs – Jobs that are pending admin approval before publication.
Archived Jobs – Alumni-submitted jobs that have reached their application deadline and are no longer active.
The dashboard provides an efficient way to monitor, manage, and approve job postings, ensuring your alumni network has access to valuable career opportunities.
Step 2: Setting Up Job Notifications
Before posting jobs, we recommend setting up notification preferences.
Click “Setup” on the Jobs page.
In the Jobs Setup pop-up, enter the following details:
Job Notification Email – Receives notifications when alumni post jobs.
Reply-To Email – Alumni receive confirmation emails from this address.
Auto Approve Alumni Job Uploads: If Yes, jobs posted by alumni will be automatically published. If No, jobs will require manual approval before being made live.
Click “Save” to apply the settings.
Step 3: Adding a Job Posting
Click “Add New Job Post” to open the job creation page.
Fill in the job details:
Job Position Title – The job title displayed at the top of the listing.
Job Position Web Link – URL that takes candidates to your job application page or your career website.
Company Name – Name of the company offering the position.
Company Phone – Contact number for the company.
Company Website – Website link for job applicants to learn more.
Job Position Details – Enter the job description and responsibilities.
Featured Job – Tick this option to highlight the job at the top of the search page.
Enable/Disable Job: Enabled – The job is live. Disabled – The job remains in Draft Mode until activated.
Job Type – Select Full-time, Part-time, Contract, or Graduate Position.
Job Location – Specify the location where the job is based.
Application End Date & Time – Define the deadline for applications.
Company Logo – Upload a company logo for branding.
Click “Save” to continue editing or “Save + Exit” to return to the Jobs page.
Step 4: Editing a Job Posting
On the Jobs page, locate the job you want to edit.
Click the Edit (pencil) icon under the Action column.
Make the necessary updates.
Click “Update” to apply changes or “Update + Exit” to return to the Jobs page.
Step 5: Viewing Job Details
Viewing a job post allows you to track engagement and applications.
On the Jobs page, click the View (eye) icon under the Action column.
From this page, you can:
See the total number of views for this position.
Track the number of applications received from alumni.
Review job details including job type, location, and deadlines.
Step 6: Cloning a Job Posting
If you need to duplicate a job posting, follow these steps:
Select the checkbox next to the job you want to clone.
Click “Clone” – A new draft job post will be created.
Modify the job details as needed.
Click “Save” to apply changes or “Save + Exit” to return to the Jobs page.
💡 This feature is useful for recurring job postings, such as seasonal hiring or internship opportunities.
Step 7: Managing Alumni Job Postings
Alumni can post jobs on your site, creating valuable career opportunities within your network. Depending on your Job Setup settings, alumni job postings will either be automatically approved or require manual approval.
Managing Unapproved Jobs (Manual Approval Required)
If job approval is required, you’ll receive an email when alumni submits a job.
Navigate to Jobs > Alumni Jobs > Unapproved Jobs.
Click View to review the job details.
Choose to Approve or Unapprove the job:
If Approved, the job will be published on the alumni site.
If Unapproved, the job will be archived.
The alumnus who posted the job will receive an email notification about your decision.
Managing Approved Jobs (Auto-Approval Enabled)
If auto-approval is enabled, jobs will be instantly published once posted by alumni.
Navigate to Jobs > Alumni Jobs > Approved Jobs to view all live alumni job postings.
