Alumnly’s Email Newsletter module allows you to create, send, and track email campaigns to keep your alumni informed and engaged. Whether it’s sharing event updates, fundraising campaigns, or general announcements, the Email Newsletter feature helps you connect with your alumni community efficiently.

Step 1:   Accessing the Email Newsletter Page

  1. Log in as an Admin on your Alumnly site.
  2. Navigate to Email Newsletter from the main menu.

On this page, you’ll find a comprehensive dashboard that includes:

  • Total newsletters sent – Displays the number of campaigns sent.
  • Email setup – Manage the email addresses used for sending newsletters.
  • Create a new campaign – Start a new email campaign.
  • Newsletter Status Tabs:
    • Sent – List of newsletters that have already been sent.
    • Pending – Newsletters in the queue, scheduled for future delivery.
    • Failed – Newsletters that did not got sent.
    • Archive – Past newsletters that have been archived.
  • Draft – Saved newsletters that have not yet been sent.
  • Additional Actions – You can archive, clone, or delete any newsletter.

 

Step 2:   Email Newsletter Setup

By default, your alumni site comes with a verified sender email (e.g., newsletter@alumnly.com) for sending newsletters.

If you want to use your own email address:

  1. Click “Add New Email Account”.
  2. Complete the required details and submit the request.
  3. Once the email is verified, it will be added to the list of available sender emails.
  4. You can select this email when creating new campaigns.

💡 Tip: You can add multiple email addresses to send newsletters from different departments or accounts.

 

Step 3:   Creating & Sending an Email Newsletter

Step 3.1     Creating a New Campaign

  1. Go to Email Newsletter and click “Create a New Campaign”.
  2. On the campaign setup page, fill in the required details:
    1. Campaign Name – Internal reference name for tracking purposes.
    2. Subject Line – This will appear as the subject in the recipient’s inbox.
    3. Sender Name – The name displayed in the email sender field.
    4. Sender Email – Choose from the verified email list.
    5. Subscriber List – Select one or multiple alumni lists from the dropdown (Refer to the Alumni List section for instructions on creating lists).
      💡 Tip: Send newsletter to "Inactive Alumni" any time asking them to register.
    6. Delivery Date & Time – Choose when to send the newsletter (immediately or at a scheduled date/time).
  3. Click “Save + Next” to proceed to the email content editor.
     

Step 3.2     Customising the Email Newsletter

  1. On this page, you’ll find a standard newsletter template that you can customise.
  2. You can:
  • Modify the text and images.
  • Add custom branding elements.
  • Use the built-in source code editor (“Source Code”) to upload your own newsletter template.
     
  1. Click “Update + Next” to preview the email.
     

Step 3.3     Preview & Test the Newsletter

  1. The preview page allows you to review the final email before sending it.
  2. You can:
  • Send a test email to a nominated email address for approval.
  • Make final adjustments if necessary.

Step 3.4     Send the Newsletter

  1. The send page allows you to send newsletter.
  2. Once you’re satisfied, click “Confirm & Send Campaign”.
💡 What Happens Next?
  • The newsletter will move to the Pending tab if scheduled for a later date/time.
  • Once sent, it will automatically move to the Sent tab.

 

Step 4:   Tracking Newsletter Performance & Reports

Once the newsletter has been sent, you can track its performance using detailed analytics and reports.

  1. Navigate to Email Newsletter > Sent Tab.
  2. Click “View” (binocular) icon under Action column you want to analyse.
  3. The report will display: 
  •  Total recipients – Number of emails sent.
  •  Deliverability stats – How many emails were successfully delivered.
  •  Unique opens – Number of alumni who opened the email.
  •  Additional engagement metrics (such as link clicks and responses).

This data helps you measure the effectiveness of your newsletter campaigns and optimise future communications.
