Automated Snapshot Emails & Frequency

What it is
Automated Snapshots are periodic email summaries sent to your alumni community, highlighting recent activity on your Alumnly site (e.g., news, events, photos, fundraising updates).

Who receives it
All registered alumni with a valid email who haven’t unsubscribed and have email notifications enabled.

When emails are sent

Snapshots only send if new content exists within the selected period.

  • Example: If Weekly is selected and no new content is added during that week, no snapshot email is sent.
  • If new items (e.g., photos, news, events, fundraising) are added within the period, a snapshot will be sent automatically.


Why it’s useful
It’s a set-and-forget way to keep alumni informed — especially handy for event promotion (e.g., reunions) without needing to manually build newsletters. The system bundles updates and delivers them on your schedule.

Frequency options

Choose the cadence that fits your communications strategy:

  • Weekly (default)
  • Fortnightly
  • Monthly
  • Quarterly

This flexibility helps you avoid over- or under-messaging alumni.

How to change the frequency

  1. Log in to the Admin Portal.
  2. Go to Email Comms → Community Highlights.
  3. Under Community Highlights Sending Configuration, select Weekly, Fortnightly, Monthly, or Quarterly.

Once selected, Alumnly will automatically send snapshot emails according to your selection — no further action required.

Notes & tips

  • Content types included: News, Events, Photos, Fundraising, Chat Group, Business Directory, and other newly published items.
  • Respecting preferences: Unsubscribed alumni or those who’ve disabled email notifications will not receive snapshots.
  • No duplicates: If nothing new is published in the period, no email is sent — keeping inboxes clean.
  • Best practice: Start with Weekly if you’re unsure, then adjust based on engagement and content volume.
